South African visa requirements: find the right list before collecting documents
A useful visa checklist starts with the proposed category, the person applying and the office receiving the application. Without those, “South African visa requirements” can combine short visits, long stays, employment, study and family evidence into one misleading list. Begin by establishing what each document is meant to prove, then confirm the current instructions that apply to your submission.

Before you start
This page deals with choosing and checking requirements. For the wider sequence from preparation to submission and decision, use the separate application-process guide.
Record the question precisely
Write down the proposed purpose of the stay, current position, category being considered and intended receiving mission or in-country channel. A person's nationality or a travel destination alone does not explain every requirement. If the category is still uncertain, start with the visa overview rather than ordering a large document pack.
Make a separate note for each accompanying person. A principal worker, joining adult and school-age child may need evidence serving different purposes. The family overview and accompanying-family guide help distinguish the starting points.
Separate legal requirements from office instructions
Use the relevant legislation and operative amendments/directives for the legal framework, then the receiving authority's current instructions for the channel and practical submission details. A mission checklist is an important primary operational source, but it is not a complete consolidation of national law and it may retain outdated wording.
For example, New York publishes a long-stay visitor checklist with jurisdictional residence documents, local forms and a processing estimate. Those should not become a global requirement or guaranteed turnaround. The same document's activity and family evidence must be read in the context of the category and applicant. [B04B07]
Keep a short source log: exact page or document, date accessed, issuing authority, category, location and any version date. If two sources conflict, write down the precise issue instead of selecting the most convenient answer.
A document-purpose matrix is more useful than a universal list
The following is a way to organise evidence questions, not a pack that every applicant must submit.
| Evidence purpose | It may be relevant when… | What to verify before obtaining it |
|---|---|---|
| Identity and travel document | The authority needs to identify the applicant and place the permission | Current passport specifications, validity, available pages and accepted copies |
| Current position and jurisdiction | The receiving office needs to establish why it can accept the application | Applicable residence/status evidence and correct submission location |
| Purpose and activity | The stay involves work, study, family, retirement or business | Exact category and evidence relevant to the actual activity |
| Relationship | A spouse, partner, child or other family connection is relied on | Legal definition, civil records and any consent or responsibility evidence |
| Financial support | The applicable route requires means or assurance | Amount, responsible person, acceptable evidence and exceptions |
| Institution or employer | A third party must supply route-specific evidence | Who signs, what the record confirms and whether undertakings are required |
| Police/health records | The current route and rules require specified checks | Countries, periods, validity and any current waiver or exception |
| Payment and submission | The authority requires a charge or booking step | Current fee, exemption, collection currency, service charge and receipt |
For instance, the study regulations ask for institutional acceptance/course-duration evidence and institutional undertakings. That does not make a university offer a required document for a relative's application. Relationship evidence and the accompanying-holder provisions likewise serve specific purposes rather than every route. [B04B08]
A current example: medical report versus medical cover
Directive 10 of 2026 waives the medical-report requirement under regulations 9(1)(c) and 23(1)(f) for future and pending visa/permanent-residence applications. It was signed on 8 July and published on 17 July 2026. An older checklist may still ask for the report. [B04B09]
That waiver does not erase a study medical-scheme cover requirement or every vaccination/health condition. Ask the receiving authority how it has implemented the directive and what separate evidence still applies. Do not pay for an examination merely because an old checklist names it, or omit unrelated cover because you read the word “waiver.” Read the study guide for that distinction. [B04B08, B04B09]
Another example: police records and older wording
The May 2024 amendment revised the police-certificate definition to refer to countries where the applicant, after turning 18, lived for 12 months or longer during the five years immediately preceding application; it also addresses renewals/extensions. This differs from copying an older rule that collects every country since adulthood without the current time window. The exact application, exceptions and accepted issuer still need checking for your case. [B04B10]
Use the current definition and receiving-office instructions together. Do not assume that a convenient certificate is valid indefinitely, or that a declaration can replace a required record. Confirm the relevant period and timing before commissioning a record with a limited validity period.
Match formalities to the actual instruction
Make an inventory of originals already held and identify names, dates or civil-status discrepancies early. Ask which copies need certification, which translations are accepted and whether any further authentication is necessary. Do not generalise a particular country's apostille, notarial or translation practice to every South African application.
For a family file, keep the connection between documents clear. For an employer or institution, ask who owns the supporting evidence and who confirms its content. A complete-looking bundle may still fail to answer the legal question it is meant to support.
Confirm current charges separately from document requirements
The national August 2026 fee amendment is an operative schedule, distinct from the July consultation draft. It does not, by itself, show every service charge, exemption or foreign-currency collection arrangement. Confirm the charge for your category and channel, and keep the payment record with the application. [B04B11]
The cost guide helps separate authority, document and professional costs. The processing-times guide helps organise uncertain dates; neither should be used as a promise that a complete list guarantees approval or a decision by a particular day.
A fictional example: resolving a checklist conflict
Illustration only — not a client or approved application. A student finds an old mission checklist requesting a medical report and a current directive waiving it. Instead of booking an examination or deleting every health-related item, they record the conflict, obtain the receiving office's current instruction and separately arrange the study-cover evidence. They also ask the institution for its correct letter. The useful result is a coherent evidence plan, not a claim that the visa will be granted.
Common questions
Can I use a friend's completed checklist?
Use it only to identify questions. Different category, date, office or personal circumstances can change the evidence. Obtain the actual instructions for your submission.
Is a mission PDF automatically more current than a directive?
No. Check the issuing authority, date, legal scope and what the document is describing. Ask for clarification where an operational list conflicts with an operative rule; do not assume an older PDF supersedes a later directive.
Does a complete document list mean I qualify?
No. Evidential completeness and meeting the legal criteria are different questions. A website list cannot make an individual eligibility or discretion finding.
What if my visa is expiring or I have already been refused?
Obtain individual attention on the actual dates and decision before relying on a generic preparation list. The immigration-compliance guide can help organise the discussion, but it does not determine an appeal, status or deadline for you.
Your next useful step
Prepare a source log and evidence inventory with three headings: confirmed, missing and conflicting. Take that to the first immigration conversation. Ask who will confirm the category, reconcile the sources and check the final pack. No document upload, route assessment or Karoo case acceptance is needed to use this educational method.
