Moving from Germany to South Africa: prepare the right records for the right office
Your South African application needs a clear purpose: work, study, retirement, joining family or another applicable basis. Being German or living in Germany adds practical questions about the receiving mission and the records you will obtain. It does not answer the immigration-ground question on its own.

Before you start
Start with the visa overview to identify the subject you need to investigate. Use this guide to organise the Germany side of the preparation: jurisdiction, document issuers, translation and a usable submission plan.
Separate a holiday from the proposed move
The South African embassy's short-stay guidance describes a 90-day holiday visa exemption for German citizens holding German passports. That is a stated passport-and-purpose context, not permission to take any job or establish a different long-term activity. [B07C01]
Write the intended activities down before choosing a checklist. "Moving for a job with a local employer" and "visiting for a holiday while considering a future move" need different preparation. If you intend to work for an overseas employer, describe that arrangement rather than assuming the location of the employer settles the South African question.
If you have a South African citizenship history or documents, raise that first. Do not assume you need a foreign-national visa simply because you now hold a German passport. The citizenship overview identifies the questions to take for an individual status review.
Establish Berlin or Munich responsibility before travelling
The embassy's linked visa-services document assigns residents of Bayern and Baden-Württemberg to the Consulate-General in Munich and residents of the other listed German Länder to the Embassy in Berlin. It also distinguishes permanent-residence appointment arrangements from ordinary visa submission arrangements. Confirm the current instructions for your actual category before making a journey. [B07C02]
Record your residential Bundesland, the category, receiving office, relevant official checklist and the date you checked them. If you have recently moved, live outside Germany or have a residence situation that does not clearly match the published instruction, obtain a specific answer rather than choosing whichever office is more convenient.
The embassy's business-hours page describes in-person visa submission and says mailed or couriered applications are not accepted under those arrangements. It also states that honorary consuls do not process visa applications. [B07C03] Recheck current operational details before acting; this guide does not reproduce an appointment calendar, bank account or processing promise.
Do not confuse civic services with immigration applications
The embassy's civic page identifies those services as services for South African citizens. Its VFS expansion notice concerns specified passport and birth-registration services. That notice is not evidence that every foreign-national visa category has moved to the same channel. [B07C04]
Use the official mission's visa instructions for a visa enquiry and the relevant civic instructions for a South African document or citizenship matter. If a service provider's page is involved, verify both the service and the country-specific channel through the official mission before sending documents or money.
Ask which German record is needed before ordering it
Use a document-purpose sheet. A document's name is only the beginning: its issuer, contents, format, language and preparation for foreign use may all matter.
| Record being considered | Start with | Question for the receiving authority |
|---|---|---|
| German birth record | The register-holding Standesamt | Which form and parent details are needed for this application? |
| German certificate of conduct | Bundesamt für Justiz guidance and the applicable application channel | Which certificate and delivery format satisfy the actual requirement? |
| Name or family-status evidence | Authority holding the relevant underlying record | How should differences between current and earlier names be explained? |
| German-language evidence | The issued source record and any required translation | Which language, translator certification and authentication are accepted? |
The Bundesportal's Berlin birth-certificate guidance distinguishes a birth certificate, a multilingual certificate and a certified register copy or printout, and directs applicants to the relevant Standesamt. Do not order a version omitting parent details if those details are what the application needs. Availability of a multilingual version does not by itself establish South African acceptance or an authentication exemption. [B07C05]
For a German Führungszeugnis, the Bundesamt für Justiz provides different application instructions for people living in Germany and abroad. Its written overseas process requires the applicant's personal details and signature to be officially confirmed and the original application submitted. Use the official issuer's current process, not a private site's promise of an easier substitute. [B07C06]
If a police record is required, establish the actual countries and periods to be covered before ordering only the German document. The general requirements guide helps identify the evidence questions without treating nationality as a complete residence history.
Sequence translation and authentication around the actual requirement
Regulation 9(4) addresses originals or authenticated copies and, where applicable, translations certified by a sworn translator. The embassy's short-stay checklist also refers to sworn English translations where necessary. That checklist's format statement is not a universal document list for retirement, study or work applications. [B07C07]
Before commissioning work, confirm the particular record, required language, translator status, original/copy treatment and whether an apostille or other authentication is requested for that record. Translation, certification and authentication answer different questions; do not treat one stamp as proof that every requirement is met. Keep the original, any authentication and the translation linked in your index so the recipient can see which record has been prepared.
A fictional preparation sequence
Lena lives in Stuttgart and is researching a South African study programme. She has a German passport, an older birth certificate without the parent details she may need, and a proposed acceptance letter that is not yet final.
She records Baden-Württemberg in her receiving-office worksheet and checks the current Munich instructions for the actual study category. She asks which birth-record form is needed before contacting the Standesamt, checks the issuer's process for any required Führungszeugnis, and confirms translation requirements before paying for a translation. She keeps the study offer and funding tasks on a separate university preparation sheet.
This is an organised research plan, not a finding that Lena meets the visa requirements or that the mission will accept her file.
Common questions
Does a German residence permit give the same position as a German passport?
Record both facts separately. A country-of-residence instruction and a passport-specific entry rule answer different questions. Give the receiving office your actual nationality, residence permission and application category.
Should I apostille and translate every document immediately?
First confirm the required document and its intended use. Obtain the receiving authority's format instructions so you do not prepare the wrong version or commission work that does not satisfy the application.
Can the embassy's general processing information fix my moving date?
Use it only within its stated scope and recheck it. The processing-times guide explains why an administrative estimate should not become a guaranteed arrival date.
Your next useful step
Create the receiving-office and document-purpose sheets, with one unresolved question per record. Bring them to a first immigration conversation, alongside the evidence for your proposed immigration ground. The country-context hub helps if more than one country is involved.
