Americans moving to South Africa: get the receiving office and US records right
For a US-based move, two early questions can prevent avoidable document work: which South African office handles your circumstances, and which US authority issues each record the receiving authority actually requires. The official mission jurisdiction pages divide US states between New York, Los Angeles and Washington. [B07A05] A checklist from one office should not silently become a nationwide instruction.

Before you start
This guide owns those US preparation tasks. Your nationality does not by itself select a South African work, family, business or residence ground. Describe the intended activity before ordering records or making relocation commitments.
Identify your circumstances before selecting a mission checklist
Write down the passport(s) you hold, current residence, any South African citizenship/residence history, intended activities and proposed duration. If a family has different nationalities or residence histories, make a row for each person rather than treating "American family" as one set of facts.
Use work routes, family routes, retirement or permanent residence to identify the subject question. For an overseas employer's remote role, read remote work rather than assuming all laptop-based activity is covered by a visit.
If citizenship history is unclear, resolve that issue through the relevant authority before assuming the person needs the same visa as another US passport holder. This page does not determine nationality or loss/retention of citizenship.
Use the mission's territorial remit, then confirm the category
The official US jurisdiction pages allocate, for example, New York to the New York office, California to Los Angeles and Texas to Washington. [B07A05] Use the complete current list for your actual residence; these examples are not a substitute for it.
Then identify the current category-specific receiving instructions. The New York immigration index separates several visa categories and dated checklists. [B07A06] Its business or visitor document is not evidence of the requirements for a different category or another office.
Before arranging travel, paying a channel fee or dispatching a passport, confirm:
- The correct receiving office for your circumstances and proposed category.
- The current application method, appointment requirement and document-return arrangement.
- Which version of the instructions applies and how later DHA instruments affect older items.
- The exact supporting record, required form of copy/original, and any authentication or translation instruction.
Keep the source and date beside each answer. This page supplies no mailing address, live appointment availability, universal processing estimate or instruction to send a passport to a particular location.
Distinguish a US background record from its foreign-use preparation
The US State Department distinguishes local/state police records from FBI Identity History Summaries. It also says US embassies and consulates abroad do not provide fingerprinting services. [B07A07] Identify the record requested for your South African application before assuming that a local employment background check is interchangeable.
The FBI's FAQ describes its fingerprint-based request process and distinguishes the results from any later apostille request. It directs applicants to the State Department for an apostille when necessary. [B07A08] Requesting the record and preparing it for foreign use are separate steps.
Do not infer from this guide that every applicant needs an FBI record, that one US record covers every country in a residence history, or that every document needs an apostille. Obtain the receiving authority's actual requirement first. If a record is inaccurate, use the issuer's correction/challenge process; do not conceal it or edit a supporting document.
Identify the issuing authority for every document
Use a private record ledger like this:
| Record or issue | What to establish before ordering | Dependency to track |
|---|---|---|
| Requested US criminal-history record | Exact issuer/type the receiving authority requires | Fingerprints, result and any required foreign-use preparation |
| Birth/marriage/name-change evidence | Actual issuing jurisdiction and required document form | Replacement/certification and any authentication instruction |
| Qualification evidence | Actual institution/award and relevant South African evaluation task | Evaluation evidence separate from a diploma copy |
| Residence in another country | Whether that history creates a separate document question | Appropriate authority there, not assumed US coverage |
The State Department advises checking whether foreign use requires authentication and directs state-issued authentication questions to the relevant Secretary of State's office. [B07A07] Do not send a state-issued civil record down a federal process simply because another document in the file uses that route.
The table is a preparation method, not a universal checklist or legalisation instruction. Keep identity details and records private until the receiving person, purpose and suitable channel have been established.
Put the documents on a dependency calendar
Record what must be confirmed before a record is ordered, which work can happen in parallel and which step depends on a prior result. Use actual issuer instructions and quotes rather than a single guessed "visa time".
Avoid ordering time-sensitive items before establishing the category and receiving requirements. Equally, do not wait until departure to discover a record is held by another jurisdiction. Keep enough detail for a reviewer to distinguish a missing record from a question about what record is required.
The moving guide addresses housing, shipment and irreversible commitments. The living-cost guide uses actual quotes rather than assumed US-to-SA savings. This country guide provides no tax conclusion, healthcare entitlement or guaranteed affordable lifestyle.
Reconcile old mission paperwork with later instruments
An official downloaded file can still predate a later change. For example, the July 2026 DHA directive waived the specified medical-report requirements within its scope. [B07A04] The existence of an old medical form in an index is not proof that it remains required for your application.
Use visa requirements to keep the category, channel and later instrument together. Do not treat one conflicting line as a reason to disregard every instruction or choose the easiest version.
Fictional example: a move within the US changes the preparation question
A US-based applicant has saved a New York checklist but now resides in California. Before booking travel to submit, they check the current official jurisdiction list and the relevant category's receiving instructions. They separately identify which issuer holds a requested record and whether foreign-use preparation is required.
This fictional example does not determine that applicant's office, eligibility or document requirements. It shows why a saved checklist and an old address should not drive the entire plan.
Questions people ask
Can I use any South African mission in the US?
The official pages publish territorial jurisdictions. [B07A05] Confirm the actual category and circumstances rather than choosing an office by convenience alone.
Can the US embassy take my FBI fingerprints once I arrive?
The State Department says its embassies and consulates abroad do not provide fingerprinting. [B07A07] Plan the actual issuer's process before relying on that assumption.
Does the FBI provide the apostille itself?
Its FAQ separates the FBI-authenticated result from the State Department apostille process when necessary. [B07A08] Check whether your receiving authority requires that step.
Can nationality tell me my South African tax position?
This guide makes no tax determination. Use South African tax residency and obtain appropriate advice on the actual facts and any US obligations.
Prepare a US-specific review note
Record current residence, passport/citizenship history, proposed route, receiving-office question and the largest record dependency. Use conversation preparation before buying document or relocation services.
