Moving from Australia to South Africa: prepare the right records for the right application
An Australian passport, Australian residence and an Australian-issued document are different facts. Start with the passport and citizenship status of each person moving, the purpose of the South African stay, and where the application will be made. Then identify the Australian records needed for that particular category.

Before you start
The South African High Commission in Canberra says Australian citizens do not require a visa for tourism for up to 90 days. That tourism statement is not permission to relocate for work, study or another purpose. The mission also warns that leaving and re-entering does not automatically create another 90-day stay. Match the intended activity to the appropriate route before making the travel plan. [B07B01]
Establish the application and receiving office first
Canberra's visa overview directs applicants to category-specific instructions and says applications it handles must be made in person by prior appointment. It also distinguishes foreign nationals living in Australia from Australian citizens, including a separate instruction for people in Australia on short-term visas. Living in Australia should not be treated as a universal right to lodge any South African application there. [B07B01]
Before arranging travel to Canberra, record the proposed category, your Australian status if relevant, and the current appointment instructions. Ask whether the mission will receive that application in your circumstances and which current category checklist applies. For permanent residence, its overview directs readers to obtain the latest information rather than providing a complete filing procedure. [B07B01]
Use the visa overview to distinguish routes, then the visa-requirements guide for the evidence task. Do not apply a short-visitor form, fee or published estimate to an unrelated long-stay category.
If a police record is required, identify the Australian product
The AFP provides National Police Certificates and asks applicants to state the purpose of the check. Its guidance explains that purpose can affect what is disclosed. A certificate obtained previously for employment should not automatically be assumed to be the correct product for a foreign immigration application. [B07B02]
AFP guidance also distinguishes name-based applications from applications involving fingerprint checks. Check the receiving authority's exact requirement before ordering. Do not assume fingerprints are always necessary, or that a name-only certificate is always sufficient. If fingerprints are required, use the AFP's current process for that check rather than submitting an ordinary online application and hoping it can be amended later. [B07B02]
Whether an Australian police certificate is required at all depends on the applicable South African requirement and the person's residence history. It should not be inferred from Australian nationality alone. If you have lived in other countries, identify those dates and ask which records the application actually requires. The visa-requirements guide explains how to keep those category and residence-history questions separate.
Distinguish issuing a record from legalising it
| Australian record or service | Its role | What to confirm before paying |
|---|---|---|
| AFP National Police Certificate | Australian police-history record for the stated purpose | Correct product, names, identity evidence, fingerprints if required, accepted delivery format |
| Births, deaths and marriages registry record | Official civil-status evidence from its issuing authority | Which certificate or extract the South African recipient requires |
| University or other education record | Evidence issued by the institution | Whether verification, professional recognition or another assessment is separately required |
| DFAT legalisation | Verification of the relevant signature, stamp or seal on an eligible Australian public document | Whether the recipient requires it, which document or copy is accepted, and apostille versus authentication |
DFAT's September 2026 guidance explains that it legalises Australian public documents, with different preparation for some private and education records. It lists documents it cannot legalise, including documents only certified by a Justice of the Peace and foreign-issued educational records even if notarised in Australia. A familiar certification method is therefore not automatically sufficient for a different legalisation task. [B07B03]
That does not mean every application document needs DFAT legalisation or notarisation. DFAT explicitly says to ask the overseas recipient which documents it wants and in what form. Some recipients accept originals or copies without legalisation; others require a specified process. [B07B03]
An apostille or authentication concerns the signature, stamp or seal. It does not decide that the contents satisfy a visa category, replace an accepted translation, or grant immigration permission. Keep the receiving authority's acceptance question beside the Australian preparation question. [B07B03]
Sequence the document work
Make a short schedule for each document: issuing authority, correct version, issue date, accepted copy or original, any verification or legalisation, and the application it supports. Obtain the category instructions before ordering a bundle of certificates. Where a document has a validity window, work backwards from the confirmed submission arrangements rather than the desired flight date.
DFAT offers appointment and mail arrangements, with preparation instructions that depend on where and how the request is submitted. Read those current instructions directly before dispatching originals. Retain tracking details and copies of the records; do not assume DFAT and the South African mission are the same appointment or that either can answer for the other's process. [B07B04]
If an older mission checklist requests a medical report, check it against Directive 10 of 2026, which waives specified immigration medical reports for future and pending visa and permanent-residence applications. That does not remove every health document or settle practical healthcare cover for the move. [B07B09]
Keep the household's permissions individual
Write down what each person intends to do in South Africa. A partner's work application does not answer a spouse's activity rights or a child's study arrangements. Start with the family guide, accompanying-family guide or study guide as appropriate.
If anyone may already be South African, establish that status and the document implications before treating them simply as an Australian visa applicant. The dual-citizenship guide and citizenship-through-a-parent guide address different questions from an immigration application.
A worked Australian preparation example
Illustration only — fictional household, not an approval story. Elise lives in Brisbane and is considering a South African role. She has an old employment police check and assumes she can post a visa file after having every copy certified by a Justice of the Peace.
She instead confirms the proposed work category and Canberra's current receiving and appointment arrangements. She asks which police product and document formats are needed, checks AFP purpose and fingerprint instructions, and asks which records, if any, need DFAT preparation. Her partner's intended activity is assessed separately. The example does not establish eligibility, a fixed appointment date or acceptance of any document.
Common questions
Can I use the tourism exemption while moving for work?
Do not treat a tourism exemption as work permission. Identify the actual activity and required authorisation before travel. [B07B01]
Does an Australian address mean Canberra must accept my application?
No universal entitlement follows from an address. The mission distinguishes nationality and Australian immigration status; confirm your personal receiving arrangements. [B07B01]
Must every Australian document be apostilled?
No such blanket rule is established here. Ask the South African recipient exactly which records require which preparation, then follow DFAT's eligibility and process for those records. [B07B03]
Is my existing employment police check sufficient?
Do not assume so. Confirm the receiving requirement and AFP purpose, type and current format before ordering or relying on a certificate. [B07B02]
Your next action
Prepare a one-page summary of passport and residence status, intended activity, proposed category and receiving-office confirmation. Add the Australian issuer schedule and unresolved document-format questions. Then coordinate the application process with the wider moving guide.
